Information we collect
We may collect personal information when you:
contact SUNNY by email or through the website;
book a conversation or appointment;
enquire about or engage SUNNY's consultancy services;
become a client or business contact; or
in future, register your interest in or book a SUNNY Club event.
Depending on how you interact with us, this may include your name, email address, telephone number, company or organisation, job title, appointment information, correspondence and information you choose to provide about your business, enquiry or event booking.
We may also receive basic technical information when you use our website, such as information about your browser, device, IP address and how the website is used.
We ask that you do not provide sensitive personal information unless it is necessary and we have specifically asked you to do so.
How we use your information
We use personal information where necessary to:
respond to enquiries and communicate with you;
arrange and manage appointments;
understand your requirements and discuss potential work;
provide and manage consultancy services;
manage our client and business relationships;
administer contracts, invoices and business records;
operate and improve our website;
maintain the security and effective operation of our systems;

in future, administer SUNNY Club registrations and events.
We do not currently operate a general marketing mailing list and we do not sell your personal information.
If SUNNY introduces email marketing in future, this policy and the relevant sign-up process will be updated as necessary.

Appointments and Squarespace
Our website is hosted by Squarespace and we use Squarespace Scheduling (Acuity Scheduling) to manage appointments.
When you book an appointment through the website, information such as your name, email address, telephone number (where requested) and details relating to your appointment may be collected to process and manage your booking.
This information is provided to Squarespace as our website and online scheduling service provider so that it can provide these services to us.
Who we share information with
We may use trusted third-party service providers to help us operate SUNNY and provide our services. These may include providers of:
website hosting and appointment scheduling, including Squarespace;
email, calendar and business productivity services, including Google Workspace;
accounting, bookkeeping and professional services;
cloud storage and business administration systems; and
payment or event-booking services if these are introduced in future.
These providers may process personal information on our behalf where necessary to provide their services.
We may also disclose information where required by law, regulation, a court or other competent authority, or where reasonably necessary to establish, exercise or defend legal rights.
We do not sell personal information to third parties.
International transfers
Some of the technology providers we use may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate protections are in place in accordance with applicable UK data protection law.
Cookies and website information
Our website uses cookies and similar technologies necessary for the website to operate. Squarespace may also collect technical information about visitors and website usage.
Where cookies or similar technologies require consent, you can make your choices through the cookie banner displayed on the website.
We do not currently use Google Analytics, Meta Pixel or LinkedIn Insight Tag.
If our use of analytics or advertising technologies changes, we will update the information provided on the website and our consent arrangements as appropriate.
How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, accounting or regulatory requirements.
The appropriate period will depend on the nature of the information and our relationship with you. For example, information relating to a client engagement may need to be retained for longer than information relating to an initial enquiry that does not progress.
We periodically review the information we hold and delete or anonymise information that we no longer need.
This reflects the ICO's storage-limitation guidance: businesses don't have to apply one universal retention period, but they must be able to justify how long information is kept and shouldn't retain it indefinitely “just in case.”
Your rights
Depending on the circumstances and the lawful basis on which we use your information, you may have rights to:
ask for a copy of the personal information we hold about you;
ask us to correct inaccurate or incomplete information;
ask us to delete your personal information;
ask us to restrict how we use your information;
object to certain uses of your personal information;

These rights are not absolute and exemptions may apply.
